Council Meeting 9-15-22

Call to Order

A monthly meeting of the All Saints Church Council was held on September 15, 2022 at All Saints Lutheran Church. 

The meeting was presided over by John Barnes, Council President.

A quorum was declared by John Barnes.

Opening prayer provided by John Barnes.

Voting Council Members in attendance included: John Barnes, Art Mory, Kenny Lee, Ginya Anderson, Mary Rosas, DJ Schoneweis, Stacey Welch

 

Absent Council Members:  none

 

Staff in attendance: Mara McGee, Karolyn Havener

 

Guest in attendance: Beverly Byers

 

Approval of Minutes

 

A motion was made by John Barnes, seconded by Mary Rosas, to accept the minutes from August, 2022.  The motion carried with 6 yeas’ in favor and 0 nay’s against.

 

Staff Reports  

 

Youth and Family Ministries report was presented by Mara Welch

CLC report was presented by Karolyn Havener.

  • CLC continues to seek qualified teachers to enable increased capacity.

Financial report was presented by Beverly Byers and Kenny Lee.

  • Financial and budget review

Communications report presented by John Barnes on behalf of Julia Bessler.

  • Julia is requests that we try to get more photos of events and fellowship for social media use.

 

Trustee Reports

 

Ministry Teams report was presented DJ Schoneweiss.

  • DJ reports that Julia Bessler would like to start a bible study group regarding the series “The Chosen” which is streamed online.

Property report was presented by Mary Rosas.

  • Sanctuary Lighting – switching to from halogen to cost effective LED possible with adapters
  • Renting a lift to replace the lights in the sanctuary ourselves; rental fees?
  • The gas stove should be repaired and updated (pilot light issue); Cost/bids requested by Art.
  • Updating bathroom lights – on hold. Place a floor lamp in the meantime.

 

A motion was made by DJ Schoneweiss, seconded by Kenny Lee, to accept the August Board reports. The motion carried with 6 yea’s and 0 nay’s against.

 

Business

 

Roof repairs:

  • Currently awaiting bids for a Roofing Consultant evaluation ($2,500 to $3,000 fee).
  • DJ recommends creating a “Facilities Book” that can be referred to by staff and volunteers to coordinate regular maintenance of the building (gutter cleaning, etc.).
  • Consider hiring some to inspect the roof quarterly or annually.
  • Continue to contact Eagle Roofing for repairs covered under warranty.

 

A motion was made by John Barnes, seconded by DJ Schoneweiss, to hire a roofing consultant, with a leak test, who will determine the repairs that need to be done to facilitate a proper bid.

The motion carried with 6 yea’s in favor and 0 nay’s against. 

 

Oil and Gas Lease:

  • Not being sold.
  • Beverly will continue to get information of current market price for lease.

Wedding Packet:

  • Weddings to be held for members only, family of members with council’s prior approval.
  • ASLC does have pastors on-call to perform weddings.

Recruiting next year’s Church Council and Nominating Committee.

  • Start making weekly announcements
  • No new candidates

 

Executive Session

 

A motion was made by John Barnes, seconded by Mary Rosas, to go into executive session with the inclusion of Beverly Byers to discuss the budget.

The motion carried with 6 yea’s in favor and 0 nay’s against.

Purpose of Executive Session: To approve the 2023 Budget (with slight changes for roof repair bids) to be presented at the next Annual Congregational Meeting November 6, 2022.

Beverly Byers, Finance team, led the discussion.

A motion was made by DJ Schoneweiss, seconded by Mary Rosas, to end the executive session and for the meeting to adjourn.  The motion carried with 6 yea’s in favor and 0 nay’s against.
