Council Minutes 4/20/23

Call to Order

A monthly meeting of the All Saints Church Council was held on April 20, 2023 at All Saints Lutheran Church. 

The meeting was presided over by Art Mory, Council President.

The meeting was called to order at 7:00pm.

A quorum was declared by Art Mory.

Opening prayer provided by Art Mory.

 

Attendees

Voting Council Members in attendance included: Art Mory, DJ Schoneweis and Donald Scheeler.

Absent Council Members:  Lois Ballard Stephenson, Ginya Anderson

Staff in attendance included: Julia Bessler, Karolyn Havener, Mara Welch

Guest in attendance included: Beverly Byers.

 

Approval of Minutes

There were no March 2023 minutes submitted for approval at this time.

 

Call Committee Report

Presented by Art on behalf of Marc Funderburk

  • Begin a written outline of the onboarding process.
  • Pastor Hellemo will be in the pulpit that last weekend in May.
  • Take the Call Committee members for a thank you lunch.

 

The council would like to officially thank each member of the Call Committee for their hard work and dedication throughout the process.

 

Staff Reports  

 

Youth and Family Ministries Report provided Mara McGee Welch.

  • Community appreciated the Easter Eggstravaganza and its format.

 

Children’s Learning Center (CLC) Report was provided by Karolyn Havener.

  • Jackie with CLC will shares the news in their latest Newsletter of Pastor Abera Hellemo (complete with photo) with their parents.

 

Communications Report presented by Julia Bessler.

  • Julia provided the CLC with information, headshot and a biography for Pastor Hellemo
  • ASLC Member photo directory (include names and contact information)
  • Sat May 27, 2023 request for funeral service for Pete Becker.
    • Let Pastor Hellemo know that Pastor Steve will be presiding over the service.
  • Update congregation that the Call Committee’s work has been done and we have voted to call Pastor Hellemo.
    • Art will work with Julia on a formal e-mail.

 

Financial Report was presented by Beverly Byers.

 

Trustee Reports

Property report was presented by Donald Scheeler.

  • Junction box needs to be open and accessible (covered over during water damage repairs)
    • Locate and mark
    • Have an access panel installed.

 

Board of Ministry Report was presented by Art for Lois Stephenson.

 

Motion made by DJ Schoneweis, seconded by Donald Scheeler, to accept staff and trustee reports. The motion carried with 3 yeas in favor and 0 nays against.

 

OLD Business

 

Roof Repair/HVAC Ductwork –

  • Keep monitoring

Wedding/Funeral Packet –

  • Waiting on new Pastor to get his input before it is finalized
  • Event Checklist (Julia)– to be part of the Even Packet (Wedding Packet)
    • Will be a working document

 

Worship Format Change

  • We have a new Pastor and no change will be needed after May.
  • Joe will cover the month of May, as the Praise Team will take the month of May off.

 

Marissa Sandoval Quinceanera – January 2024

  • Julia is working with the Sandoval family.
  • They are requesting Pastor Pedro Portilla preside over the service.
  • We will need a Church representative present, if Pastor Abera is not available that day.

 

NEW Business

Pastor Abera’s Onboarding

  • Staff – need to put together information for Pastor Abera of what each staff member’s duties are along with general schedules (arrival, lunch, departure).
  • The three daily staff members will work on delegating.
  • Forwarding pastor e-mails
  • Preparing paperwork
  • Required Training
  • Pastoral Care Committee (to include at least 1 person from the staff)
  • Welcome events (2)
    • Casual meal for the First Sunday Pastor Abera arrives (Julia)
    • Formal Dinner following installation (Julia)
  • Ask Pastor Abera about his TO-DO list (Marc/Art)
  • NALC formal Installation (Julia)

Security

  • Unauthorized copies of key should not be made. Julia will issue keys.
  • Everyone with keys needs to advise the proper person of their business on ASLC property:
    • Lois and Julia for mission
    • Donald and Julia for property

Tree Line Clean-up

  • Security and Safety of Church property, call 911 for trespassing individuals
  • Mary will help set a date for clean-up

Safe Workplace Training

  • Started due a 2019 situation between a staff member and pastor raising concerns about sexual harassment.
  • Council at that time made it a policy/requirement for council members, staff and pastor(s).
  • Policy is already in place, and the current council would like to continue the training.
  • ASLC council will advise Marc to let Pastor Abera Hellemo that he will need to complete the Safe Workplace Training as part of his onboarding process.

  • Art would like uniform photos taken

 

Adjournment

A motion was made by DJ Schoneweis, seconded by Donald Scheeler, to adjourn.  The motion carried with 3 yeas in favor and 0 nay’s against. 

Beverly Byers closed in prayer.
